How to create classes as session
Do you want to offer your participants a package of multiple classes instead of individual, drop-In activities? It’s a great idea and really benefits your participants by being able to build a personal relationship through multiple classes. Here are some of the advantages that offering classes for a session can bring: only one booking for an entire season, a guaranteed spot in your class, and a more attractive price.
Decathlon Activities Sessions - how do they work?
We decided to standardize our offer, improve the user experience, that's why, in addition to drop-ins, we offer sessions. It's classes occurring on the same day, same time every week for the duration of a season.
Decathlon Activities seasons will usually have this timeline:
Winter: January to early March (8 weeks)
Spring: Mid March to late May (10 weeks)
Summer: Early July to late August (7 or 8 periods of 1 week)
Autumn: Mid September to late November (10 weeks)
*Drop-in classes are offered independently, on days or time slots agreed upon by you and your store.
To maximize the number of bookings possible, begin by selling session classes and then offer the remaining unsold spots as drop-ins - this way, you’ll meet the needs of all your participants!
Note: At this point in time, we do not offer other packages such as "unlimited classes for a monthly price" or "X number of classes regardless of dates."
Step 1: Create your session classes
To create your custom session classes, follow the editing steps, paying particular attention to the following details:
- Price
- Title
- Description
- Capacity (max. number of participants)
Indicate the price of your activity
We recommend going with a price that will encourage participants to choose this option. For example, if your Drop-in activity costs $10, a 10-week session at $80 sounds pretty good!
Describe your activity
We want users to immediately understand that this activity is sold as a package. Start the description of your activity with the following points:
- This is a [X]-week session
- Every [day] at [time]
- From [start date] to [end date]
For example:
- This is a 10-week session
- Every Saturday from 10 am - 11 am
- From September 25 to November 27, 2021
Then continue describing your activity with the relevant information in a way that will encourage participants to join.
Give your activity a catchy title
Add ''[X]-week session'' to your title, so users know right away that this activity is a session.
For example:
''Cardio HIIT'' becomes ''Cardio HIIT (10-week session)''
Indicate the maximum number of participants
This is the maximum number of participants you are able to coach in a single class.
And that’s it, your session has been created!
Now it’s time to plan your activity.
Step 2: Plan your session
If you are satisfied with the overview of your activity, you can move on to planning your session
Click on Next, Enter time slots, Schedule my activity, then Add a time slot
IMPORTANT: ONLY ADD THE FIRST CLASS OF YOUR SESSION
For example, if we use the previous example:
10 weeks, every Saturday from 10 am - 11 am, from September 25 to November 27, 2021
=> you must select September 25, 2021 at 10 am and confirm by clicking Next.
DO NOT ADD RECURRING DATES OTHERWISE IT WILL CREATE SEVERAL SESSIONS
Your session is now planned and will be added to the calendar. Click on Post 1 date to confirm and make your session visible online.
If you see a small blue dot to the left of your activity title, your session is now online, and participants can register :)
Step 3: Check how many spots you have sold
To check the number of registered participants for your session, go directly to the corresponding time slot in the calendar.
In our example, we can see that we have sold 5 places out of 22 possible.
Step 4: Create drop-in classes
Once you know how many spots in the session you sold, you can create and plan your drop-in activities for the remaining time slots. Note: Publish remaining open spots for drop-in activities maximum 1 week out from the start date of your activity.
To do this, click on + Create an activity
Then click on + Create a new activity
Note that you can duplicate your existing activity if you are going most of the same information (You will probably only have to adapt the title and the description).
Then, follow the activity creation steps until Specify maximum number of participants.
To make sure you don't end up with more participants than available spots in your class, you must consider the number of sessions sold to determine the maximum number of participants for your Drop-in classes.
The formula is as follows:
Maximum class capacity - number of session spots sold
=
Maximum number of participants for a one-off activity
For example, if your studio has a maximum capacity of 12 people and you sell 7 spots as a session, you need to plan your Drop-in activities with a maximum capacity of 5. This way, you'll never exceed the maximum number of people in your class.
Now, all you have to do is plan your one-off activity on the corresponding dates.
And that’s it, you’ve successfully set yourself up for a great season!
